Minutes of Meeting 01-02-06
From YAHWiki
You Are Here" Minutes for Jan 2nd, 2006
Attendance: Angel, Paul, Ricardo, Johna.
- Reviewed minutes for Dec 12th meeting. No quorum to pass minutes, but no one had objections.
Discussion of Old Business
- Elisa reports (says Angel) that she would like mugshots of everyone in the group for the ID Passes. Angel suggests that we bring a digital camera to the meeting and take photos during a meeting, since we'd all be around anyway. Perhaps we could use a CCTV digital camera.
- More confusion over how to refer to the group. To re-summarize the 12/19 meeting: OK: You Are Here News OK: You Are Here, the Cambridge News Magazine SOMETIMES: You Are Here (if in middle of story, like Angel uses) BAD: You Are Here Newsgroup BAD: You Are Here News Magazine
- What ever happened to the courses/workshops that someone was supposed to teach (A person named A.C.?).
- No update on news van. Perhaps we could buy a magnetic decal (like from cafepress.com) to put on the side of a car when en-route to shoot a story.
- Confusion over our "official" contact list. There's one on the Internet and one on paper. Who is making sure they're in unison and that people who need paper copies are getting them?
- Internet downloads of past episodes: a. Paul has no uploading progress since 12/19/05 b. Johna got an error when attempting to watch one of the videos on the net. Paul thinks he should use a more friendly format. c. The group suggested that Paul should add "© 2005-2006" next to any video that's put on the Internet (until a better solution is decided). Paul agreed.
- The "New Bug Initiative" a. General agreement that that no one presented wants to "replace" the existing bug. b. The VALUE of a new bug would be to: Advertise and reinforce to the viewer the name of our show. c. Johna is thinking that a full screen transition might be a better approach. Angel thinks something smaller could work. d. Ricardo, Angel, and Johna volunteered to make a committee to work out the new bug. They were to meet during the first week of January [they have probably already met]
Discussion of New Business
- Buz reports via email that a "best-of" episode has been made.
- Ricardo reports that he was left out of the committee to create the Best-of show even though he had signed up. Please remember he doesn't have email and to call him direct at 617-763-5839
- Rumor has it that CCTV now accepts shows that are submitted "directly over the network". In other words, you may not need to put the show on a DVD or Tape. We are not sure of the details yet - details spotty.
- Idea: Transitions between stories could include a map of Cambridge. Perhaps a pre-produced template of the major centers in Cambridge (Harvard, Central, etc) could be used over and over.
Episode 7 Updates
- Due & Air dates for Episode 7 have not changed. (Stories are due on the 23rd. Stories turned in after that day will air for Episode 8.)
- Ann was not able to get to Roxbury for some of the Kwanzaa footage, so the story is probably scratched (reports Angel).
- Message from Jen who could not attend 1/2/06 meeting: She could use help with the military recruiting story. [Update from Paul on Jan 9th... Jen has started work on another story and is postponing the recruiting story. Ask her for details. Paul is helping Jen with the new story.]
- Angel is working on a weather segment about New Year's weather. She has footage from last year's blizzard and would like to compare it to this year.
- Reiterate that for Episode 7, producers should turn in a "script" which the person-on-the-street should read to introduce the story
- No update on Filene's story.
- No update on Dance Hall story.
- No update on "Diversity of Religions in Cambridge" except that Paul has a contract for it.
- Internet downloads of Episode 7 a. The group discussed how we would make episode 7 available on the Internet. There was general consensus that it would be nice to have each story available for download separately, and that each story download should include a title page and credits. b. We discussed who should do the work of creating separate story titles, credits, etc. Johna suggested that someone could be added to the team who puts together the final show, and that person would create the files for the Internet. c. Paul volunteered to sit in on the process of putting together episode 7 and create the files for episode 7 download. These files would include the "iPod" format for podcasting.
Story Ideas
- Story idea... A story about how a You Are Here episode comes together. The story could be used for an episode, as a PR spot for recruitment, and as a tutorial for people who want to produce a segment or help put show together. The story could be humorous (a person chained to desk while editing...).
- Ricardo proposes a story about cults in Cambridge. General discussion of strange cults in Cambridge, including a cannibalistic cult which Angel remembers having had a demonstration in Central Square.
- Story idea... Strange people at MIT (like the people who live in the East Campus dorm).
.....3 to 1 vote to adjourn. Motion passed.

It's "You Are Here, the Cambridge Video News Magazine" - at least
that's the full title of the show.

There is encoder software in edit 3 "mcoder". Presumably it will be
put into the other suites as people start using mpeg submission
more. To submit via mpeg,
1) Output a quicktime movie (.mov) file of the show from Final Cut
pro. (NOT self contained is faster). DO NOT export Chapter Markers (if needed, reexport with chapter markers to make a dvd for human consumption.) Mpeg encoding takes about a minute per actual minute of video, and thus 30 minutes to encode an episode of YAH. There is a "tutorial", consisting of screen shots taken when running mcoder in a directory on the desk top of the edit 3 G5. It is best to practice this ahead of time before doing it for real at the last minute.
2) Notify Renato you have the file ready. if there is no hurry, you can copy it into the directory "To Be Transferred" inside the "Mpeg Encoding - DO NOT DELETE" (or similar) on the desktop. Renato will transfer it over cctv's internal network to the station's video server - in the case of YAH, it will replace the previous show on the file server.
This is a new process, so for now be sure to check with renato ahead of time if you are planning on submitting other shows via mpeg.
